For official use in Spain, a birth certificate in another language often requires sworn translation by a translator appointed by the Spanish Ministry of Foreign Affairs. For use outside Spain, the format depends on the authority concerned. Some bodies accept certified translations with a statement of accuracy; others require notarisation, apostille, legalisation or a translator with a specific status.

Accuracy in civil registry details

Birth certificate translation leaves little room for interpretation. The translator has to reproduce the information shown in the original and keep names, order of surnames, dates, registry references and parental details consistent. If a name appears differently in another related document, we may ask for clarification, but we do not alter the original information unless the source document supports the change.

For sworn and certified translations, the layout should make comparison with the original straightforward. Stamps, seals, signatures and handwritten notes are described or translated where relevant, depending on the format and language.

Delivery and quote process

Most birth certificate translation projects are managed online. Send a clear scan or PDF, the target language, the country where the translation will be used, the receiving body and the deadline. If the certificate already has an apostille, include it. Where the apostille has not yet been obtained but may be required, it is usually better to get it before ordering the translation so the final version is complete. If the certificate is old, handwritten or issued in an extract format, a clearer scan or supporting context may be requested before the quote is finalised.
