LinguaVox provides healthcare translation services for healthcare providers, public bodies, clinics, insurers and patient-facing organisations. We manage multilingual projects in more than 150 languages, combining specialist translators, project management, terminology control and review workflows according to what each assignment requires.
Translation for the healthcare services sector
Healthcare translation usually has two readers in mind at once: the organisation that has to be accurate and the patient who has to understand. A discharge letter, a vaccination leaflet or a consent form is only useful if the person reading it can act on it, which is why plain language and clear structure matter as much as correct terminology. Many providers also serve diverse communities, so the same information often has to exist in several languages and, sometimes, in easier-to-read versions for people with limited health literacy or specific accessibility needs.
Before we quote, we identify the document type, reader, destination market, format and review level, because those points determine the translator profile and quality workflow.
Documents we translate
Typical documents include patient information leaflets and letters, appointment and screening communications, public health campaign material, hospital and clinic forms, care and discharge instructions, healthcare policies, signage and wayfinding text, insurance and claims correspondence, and internal communications and training content. Some are read once by a worried patient; others are working documents for staff. We adjust the register and the level of review to suit each, so a public information campaign and an internal protocol are not handled in the same way.
Before quoting, we review the files whenever possible. This lets us identify non-editable text, tables, screenshots, embedded graphics, repetitions, multilingual layouts, versioning issues and any instructions that should be applied during translation.
Specialist translators and quality control
Projects are assigned to translators with healthcare experience and the right language combination. Where the project runs under ISO 17100, a second qualified linguist carries out a bilingual revision against the source for accuracy, terminology and completeness, and the project manager then checks files, instructions and delivery format before the work is returned.
Where machine translation is the agreed approach for suitable, lower-risk content, we provide full post-editing under ISO 18587. A lighter post-editing level is only used when it is explicitly agreed for the content concerned and is not equivalent to full post-editing under ISO 18587; patient-facing and safety-related material is normally translated and revised by people.
Readability and consistency across patient communications
Healthcare organisations send the same kinds of message repeatedly — appointment letters, results notifications, pre-procedure instructions — so consistency matters. We build glossaries and translation memories so that service names, conditions and standard phrases are worded the same way across letters, leaflets and signage, and across each language offered. For patient-facing content we pay particular attention to readability, and we can produce simplified or easy-read versions where these are requested, so that essential instructions and warnings are not lost in technical phrasing. We can also brief translators on the tone an organisation uses with patients, so that reassurance, clarity and any necessary formality carry across rather than being flattened into a literal rendering.
Related services
For recurring programmes, we can also separate patient-facing, clinical and administrative files so each stream receives the right level of review and tone control.
Healthcare translation often connects with medical translation, legal and certified translation for official documents, website localisation for providers, subtitling for patient-education videos, accessibility and easy-read adaptation, desktop publishing and terminology management. The right combination depends on the files and on how the content will be used.
How to request a quote
To prepare an accurate quote, send the files, the language combination, the deadline, the destination market and the intended use, along with any previous translations, glossaries or style preferences. For large multilingual projects we can organise staged deliveries, separate files by language and keep the same structure across markets, so translation fits your existing workflow rather than creating a bottleneck.
Frequently asked questions
Can you write patient information in plain, accessible language?
Yes. We translate patient-facing material into clear, everyday language and can produce simplified or easy-read versions on request, so that instructions, warnings and appointment details are easy to act on. We confirm the intended reader before starting so the register is right for the audience.
Which languages do you cover for diverse patient populations?
We work in more than 150 languages, including those most often needed by migrant and minority-language communities. We can coordinate the same information across several languages at once and keep terminology and layout consistent across every version, which is useful for campaigns and standard letters.
Do you provide certified translations of medical or insurance documents?
Yes, where a certified or sworn version is required — for example records used for insurance, benefits or official purposes abroad. We confirm the format needed for the destination country and body, but acceptance always depends on the organisation receiving the document, not on the translation itself.
How do you keep standard letters and forms consistent?
We build a glossary and translation memory specific to the organisation, so service names, conditions and recurring phrases are translated the same way across appointment letters, results notifications and forms, including in later updates and additional languages.
Can you handle accessibility requirements such as easy-read formats?
Yes. We can adapt content into simplified or easy-read versions and work with the layouts these formats use. Tell us the accessibility standard or house style you follow and we will confirm how we meet it before quoting.
