2. Purpose and terms of use
This website provides information about translation, certified or sworn translation, interpreting, revision, post-editing, website localisation and other language services provided by LinguaVox. Access to the website does not in itself create a contractual relationship.
Users must use the website lawfully and must not damage systems, alter content, attempt unauthorised access or send false, malicious or third-party data without proper authority.
3. Intellectual and industrial property
The texts, trademarks, logos, images, design, code and other content on this website belong to LinguaVox, S.L. or are used with the relevant authorisation or licence. They may not be reproduced, distributed, transformed or commercially exploited without prior authorisation, except where permitted by law.
4. Data controller
The controller of the personal data collected through linguavox.net is LinguaVox, S.L. LinguaVox has not appointed a data protection officer. For any privacy query or rights request, please write to lopd@linguavox.net.
5. Data we may process
We may process data provided when a user requests a quote, contacts LinguaVox, sends documents, accepts a proposal, orders a service or registers as a collaborator. This may include name, company, email address, phone number, language, country, address, professional data, billing information, attached documents, messages, technical browsing data, visit source, UTM parameters and records needed for security and traceability.
Please do not send documents containing personal data of third parties unless you are entitled to do so. If documents contain especially sensitive information, please tell us when this is necessary in order to manage the request with appropriate safeguards.
6. Quote and contact forms
LinguaVox quote forms request the information needed to identify the requester, understand the service required, prepare a quote and contact the user. When documents are attached, they are used to assess volume, language, specialism, format and project requirements.
The quote forms are not designed as a bulk marketing database. Data is sent to LinguaVox by email and may be recorded in private technical logs to prevent abuse, verify the origin of a request, detect delivery errors and measure the source of enquiries.
7. Registration of collaborators and suppliers
LinguaVox may provide forms for translators, revisers, interpreters, voice-over artists, DTP specialists and other collaborators. In such cases, personal and professional data may be processed, including name, identity document or passport, address, working languages, native language, experience, qualifications, specialist fields, rates, availability, tools used, payment details and acceptance of confidentiality commitments.
CVs, degrees, certificates, evidence of qualifications, professional samples and equivalent files may also be received. Access is restricted to authorised LinguaVox personnel involved in selection, supplier management, project assignment, quality control, invoicing or legal compliance.
8. Purposes of processing
- To respond to information and quote requests.
- To prepare, manage and deliver translation, interpreting, revision, post-editing and related services.
- To analyse documents in order to calculate price, turnaround time, language, format and technical requirements.
- To manage relationships with clients, suppliers and collaborators.
- To comply with tax, accounting, contractual and legal obligations.
- To maintain website security and prevent spam, abuse, unauthorised access and automated submissions.
- To measure website performance, request sources and campaign or link effectiveness through analytics tools where permitted by law.
- To send follow-up communications or information about related LinguaVox services where there is a valid legal basis and always with the option to object or unsubscribe.
9. Legal basis
Depending on the case, processing may be based on pre-contractual steps requested by the user, performance of a contract, compliance with legal obligations, the data subject’s consent and LinguaVox’s legitimate interest in maintaining system security, managing professional relationships and sending proportionate communications about related services.
10. Retention periods
Quote requests that do not lead to a confirmed order will generally be kept for up to 24 months, unless the user requests erasure earlier or there is a legitimate reason to retain them for longer. Client and project data will be kept for the duration of the contractual relationship and subsequently for the periods required to meet tax, accounting, legal or liability obligations.
Attached documents will be kept for as long as necessary to prepare a quote, manage the assignment, deal with reasonable follow-up queries or comply with obligations arising from the service. Active collaborator profiles will be kept while a professional relationship or active account exists. Non-selected or inactive profiles may be kept for up to 5 years, unless erasure is requested or there is a justified reason. Technical logs will be kept for the period needed for security, traceability and abuse prevention.
11. Recipients and service providers
Data may be processed by authorised LinguaVox personnel and by technical providers needed to provide the service, including hosting, email, maintenance, security, analytics, form management, translation tools, storage, invoicing and support providers. The linguavox.net website is hosted using Dinahosting/Dinaserver services.
When a user contacts us via WhatsApp or interacts with external services, the terms and policies of those providers also apply. Some providers, such as Google Analytics, Trustindex or services linked to WhatsApp/Meta, may involve processing outside the European Economic Area under the safeguards provided for by applicable data protection law.
12. User rights
You may request access, rectification, erasure, objection, restriction of processing and data portability where applicable by writing to lopd@linguavox.net. The request must allow LinguaVox to identify the data subject and the right being exercised.
You may also lodge a complaint with the Spanish Data Protection Agency if you consider that the processing does not comply with applicable law.
13. Security and confidentiality
LinguaVox applies technical and organisational measures to protect the information received, restrict access to authorised personnel and preserve the confidentiality of documents and projects. No system is completely invulnerable, so users should avoid sending information that is unnecessary or unrelated to the service requested.
